Introduction
Some lists will allow you to update the list of amendments e.g. if you have made any changes to the amendments that will affect their sort order, or if you want to refresh a rolling list with amendments following the current day's activities.
How to update your amendment list
- With your list in the Editor:
- Right-click and select “Update List”, or
- From the upper tool bar, select ‘Tools > Update List’ or ‘Tools > Populate List’
- The system will:
- select which amendments qualify for the list you are updating which can potentially result in new amendments appearing and/or amendments being removed from the list (but not deleted!)
- sort the amendments in the list
- insert interstitial headings (depending on the list being updated)
- number the amendments (depending on the list being updated)
- validate the amendment numbers you have listed in the “Groupings of Amendments” section:
- Orange text = amendment numbers that exist for that bill version
- Grey highlight = amendment numbers that do not exist for that bill version.
- populate the Grouping List under the heading “Amendments in Debate Order” with the valid amendments listed under each Group heading in the order specified in the list.
Hints and tips
- 'Update List' will be available on SP Daily Lists, SP Marshalled Lists, SP Grouping Lists and HoC Marshalled Lists.
- If you change a group heading, you will either have to update the corresponding heading with the amendments or re-populate the list
- You can re-run ‘Populate List’ as many times as you want if you make changes to your list of amendment numbers or add/remove new groups
- You do not need to publish your corresponding Marshalled List before generating the Grouping List, but if there are any new amendments on the Marshalled List – they will appear in grey highlight as it’s not until you publish a list that the amendment appear on that their amendment number becomes set in stone.
- If there are any 'overlapping' amendments (e.g. same section/schedule and page/line numbers) without sort codes, the system will highlight these overlapping amendments in red text until all amendments in the overlapping group have been given 'sort codes' to differentiate them for sorting purposes.
SP Amendment Lists:
- This option is available for Daily Lists, Marshalled Lists and Groupings Lists
- If you are re-populating a Marshalled List, the system will also identify any amendments that are new (haven't been published on a list before) and will include an asterisk against them
- If your list includes amendments already published (e.g. a second Marshalled List, or a revised version of a Marshalled List), then it will not change the numbering of amendments already published when it re-populates the list: it will only change the number of unpublished amendments if you tweaked the sort codes resulting in a new sort order.
HoC Amendment Lists:
- This option is available for Commons Marshalled Lists and Proceedings
- If you have more than one 'new Clause' or 'new Schedule' amendment without sort codes, the system will highlight these overlapping amendments in red text until all amendments in the overlapping group have been given 'sort codes' to differentiate them for sorting purposes
- If you have an amendment to an amendment which hasn't been described correctly in the amendment instruction ("As an amendment to amendment 23") or you haven't manually updated the target provision code in the "Amendment Information" panel (e.g. "amnd_23") then the system will highlight these amendments in red text so that you can provide the appropriate target provision code to enable to the system to correctly handle and sort your amendment.
- The proceedings allows you to specify a start and end date which will populate the list with amendments with outcomes recorded on or between these dates - the amendments are inserted after any existing amendments allowing you to building up a rolling proceedings if required.
